LetMeDo is committed to protecting your privacy. This document outlines our data processing practices and the options you have regarding the ways your personal data is used by this site and by the services we provide.
1. Links
This privacy policy is valid for the entire LetMeDo site. We are not responsible for the privacy or data policies of any other Company to which we may provide links. No personal data in any form is passed to other web sites. Please refer to paragraph 6 for further details on the disclosure of personal data.
2. Use of Cookies
LetMeDo uses Cookies primarily to enhance user experience in using this site. Cookies are parcels of data that are stored on your machine and mainly contain information about your browsing behaviour. Where you wish us to remember your registration passwords, we store this in an encrypted format on your machine. 3rd party advertisements may also store cookies on your machine. We do not make nor provide any association between your Personal Data or Sensitive data and the information stored or used by the providers of 3rd party advertisements.
3. Information Collected
All information is collected through the use of enquiry forms or every time you send us information. We may also cross reference information provided by you with personal data provided by our suppliers, including credit reference agencies and agencies which supply identification and fraud prevention services. The data is used for the purpose of providing identification for prospective landlords and tenants. In addition, we may collect information provided by credit reference rating agencies. We may log your IP address together with your personal data captured with your express consent in the registration web parts of this site. The IP address is logged for security purposes and its sole aim is to prevent fraudulent use of the web site and generally to prevent identity fraud. We reserve the right to cross reference the information you provide us with information provided by 3rd parties for fraud prevention purposes. 4. Data Storage and Security
All Personal information stored in LetMeDo is subject to audited procedures for data capture and retrieval. All personal data captured is transmitted using the SSL standard with 128 bit encryption from your web browser to our data stores. The information is stored and hosted in a secure data centre in the UK, and is connected to a leading tier-one internet service provider. We do not store nor export any data outside the United Kingdom and do not make use of back-office facilities that may have access to your records outside the United Kingdom. LetMeDo uses intrusion prevention techniques and selects leading suppliers in this field to enforce its privacy policy.
We do not store personal and sensitive data for a period that we deem excessive for the purpose of conducting our business. Therefore, if you remain registered but inactive for a period of more than three months, we will automatically cancel your registration to the service and permanently delete all your data.
5. Personal and Sensitive Data
Personal Data such as date of birth and current address is gathered by LetMeDo for the purpose of identifying individuals and generally for fraud prevention and money laundering prevention purposes.
Prospective tenants or flat sharers may wish to include sensitive data as part of their profile. This is provided on a voluntary basis and is used solely for the purpose of matching prospective tenants with shared houses or flats.
LetMeDo considers the following information about individuals to be classified as sensitive data:
Marital Status, Occupation, Religion, Gender, Education, Smoker, Orientation, Income and whether a pet is held.
6. Disclosure of Personal Data and Sensitive Data
A prospective tenant's personal data is never revealed to prospective landlords without the prospective tenant's prior express consent. Personal Data may be provided in the case where LetMeDo is retrained to draft a contractual agreement between the landlord and tenant, normally this is limited to the name of the contracting parties and their current address. Prospective tenants may wish to automatically advertise that they have achieved identity or credit clearance to increase their profile and may choose to pre-authorize clearance to conduct an identity check and /or credit reference rating check on behalf of the Landlord. LetMeDo will provide the details on identity clearance and credit reference rating to prospective Landlords; however, it will not reveal the personal information it has used to obtain such information.
Where prospective candidates cannot be identified electronically, LetMeDo will certify their identity by requiring other means of identification, such as a Passport, Driving License, Bank Statements Utility bills etc. LetMeDo reserves the right to reveal to credit reference rating agencies and fraud prevention agencies information about the documents it has used to identify individuals. Please refer to our Fraud Prevention Policy for other circumstances in which personal data may be revealed.
If prospective tenants or flat sharers do not wish to advertise sensitive data as part of their profile, then they can leave the relevant fields marked as "N/A" or not available. If they choose to provide sensitive data, we will not directly reveal the data to prospective households; however, the data will be used to help landlords or house shares refining their search, which may result in an implicit association between a prospective tenant and the sensitive data they chose to reveal. Sensitive data is only used for the purpose of matching shared accommodation. LetMeDo does not deem sensitive data to be relevant for individuals seeking non-shared accommodation, and therefore never uses it for such types of accommodation searches.
Sensitive data is never revealed to any 3rd party, incorporated company, or individual, with our without the consent of the Individual to whom the data belongs. LetMeDo takes appropriate measures and procedures to prevent disclosure of Personal and Sensitive data to internal staff.
We make exception to our Personal data and Sensitive data policy where required by Law. This normally requires a search warrant or court order. Where required by Law, we may not reveal to the owner of the data that we have disclosed such data to the relevant Authorities.
7. Marketing Agencies
LetMeDo may employ marketing agencies from time to time for the purpose of analyzing internet traffic and carrying out marketing campaigns to promote and advertise use of this site. LetMeDo does not make any association between the personal data stored in its site and the browsing behaviour of users of its services. In addition, LetMeDo does not disclose any information about registered users to Marketing Agencies.
8. Compliance with the Data Protection Act and the Data Controller
LetMeDo is a registered trademark of LetMeDo.Co.UK LTD. The company is registered with the Information Commissioner under Registration Number Z9051566.
9. Your rights under the Data Protection Act
The Data Protection Act gives you certain rights concerning how we record and use your personal information. LetMeDo is committed to follow the procedures and guidelines provided by the Information Commissioner on information handling best practice.
We charge a fee of £10 for any request you may make about the data we hold about you. If you are a prospective tenant wanting to know how we have analysed your data and made our recommendation to prospective landlords on your profile, please follow the Enquiries procedure outlined below. We will endeavour to respond within 30 calendar days. Please note that we reserve the right not to disclose information if we suspect that the individual requesting the information is not the data subject. If you make an enquiry regarding information we have received by 3rd parties, such as Credit Reference Agencies, we will disclose the information we have been provided by such agencies. Please note that we are unable to change the information provided by 3rd parties, however we will disclose information on who has provided the information and their contact details.
You have the right to require LetMeDo not to use your personal data for marketing purposes. Our company policy is not to use personal data for any other purpose other than the association of prospective landlords, tenants and individuals wishing to live in shared accommodation. LetMeDo takes preventive measures to avoid making automatic decisions where there is insufficient information available about you. In such circumstances, we will require from you written confirmation or evidence about your status, identity etc. to avoid providing incorrect advice about you. If the information we hold about you is incorrect, you can amend your profile at any time by using the relevant links provided. Please note that if you enter data incorrectly, such as your current address, this may impair your ability to be identified.
10. Fraud Prevention Policy
LetMeDo has the aim is to create a safe and secure environment allowing customers to benefit from the services provided by this site. If we suspect or are alerted about fraudulent behaviour, particularly in the area of identity fraud through impersonation, identity cloning etc. we will take active steps to disclose such information to relevant Authorities.

You have the right to access the personal data that is held about you (Section 7.1 of the Data Protection Act 1998).
